Job Overview

The Littleton Group, a Davies Company, is looking for an Administrative Support person to join our growing team! Reporting to the Accounts Receivable and Payable Manager, you will oversee and assist with a variety of daily responsibilities across Accounting, Contract/Settlement Payroll, and Office Administrative functions.

To be successful in this role, you need to possess superior attention to detail skills and demonstrate an exceptional capability to multi-task and prioritize with excellent organization and documentation skills in a dynamic and fast-paced work environment. You must have a High School diploma or equivalent and a minimum of two years’ experience in a comparable support position. Additionally, you will need to be proactive, independent, dependable, and take initiative with consistent follow through while exhibiting discretion with sensitive and confidential information. This role is a full-time, home-based position.

Responsibilities and Duties

Accounting and Accounts Payable support

  • Processes Invoices for payment on a timely basis
  • Reviews vendors to determine 1099 status, request W-9s as needed, and generate new customer and vendor requests for setup
  • Prepares bi-weekly reports for AP approvals
  • Assist with various monthly, quarterly, and yearly auditing project requests
  • Provides backup support for various accounting team functions including deposits and check printing

Contract and Settlement Payroll support for bi-weekly processing

  • Prepares and issues bi-weekly adjuster settlement statements (commissions after draw); tracks and notifies managers of negative balances
  • Prepares monthly adjuster expense reporting for processing
  • Runs commission request reports to monitor adjuster billing
  • Calculates and uploads 1099/contractor pay

Office administration

  • Answers and directs incoming calls; distributes, scans, and sends mail; manages admin inbox
  • Assists with planning and coordinating office-wide events, processes, and maintenance
  • Monitors inventory and places orders for office equipment, supplies, and/or office provisions

  • Perform other duties as assigned

Experience and Qualifications

Required

  • Two (2) or more years of experience in a comparable support position
  • High School diploma or equivalent
  • Proficiency with Microsoft Office Suite as well as other business-related software programs
  • Proven ability to learn new system applications in a timely manner

Preferred

  • Bachelor's degree
  • Prior Finance, Payroll, and/or HR experience

Position Type, Work Environment and Physical Demands

This is a home-based, full time, hourly, non-exempt position that predominantly operates remotely from a professional home-based office environment routinely using standard office equipment such as computers, phones, printers, photocopiers, and scanners and requires prolonged periods of sitting at a desk while working on a computer. While performing the duties of this job, the individual will be required to regularly hear and talk. This is a largely sedentary role requiring the ability to sit at a desk, reach outward, use a phone, have use of fingers to operate office equipment such as a keyboard, mouse, phone, printer, copier, and to reach above the head, bend, or stand as necessary.
