Position Summary
The Suspense Specialist II plays an important role in the organization by performing a number of activities related to the company’s Post Close – Investor Fulfillment functions. The role is responsible, under general to intermittent supervision, for completing reviews of mortgage conditions to ensure loans conform to investor guidelines.
Essential Functions
- Maintain updated master investor files that include agreements, bulletins, contacts, typical suspense issue conditions, and standard resolutions.
- Resolve differences with investor management as needed.
- Analyze and prepare management reports related to suspense conditions, trends, and metrics.
- Maintain compliant files and records and ensure files are complete with all required documentation.
- Work to minimize and avoid late fees and penalties associated with operations, escrow, title, and insurance agents.
- Monitor the status of all declined loans.
- Obtain required documentation and collateral for declined loans.
- Submit suggestions for changes in procedures, automation, and forms to increase department efficiency.
- Monitor quality of work to identify trends and avoidable upstream errors; provide feedback and suggestions for corrections and improvements.
- Support new hire training and work closely with less experienced employees.
- Participate in the creation of training materials and job aids, as well as any new rollouts or updates.
- Work to distribute technical knowledge throughout team.
- Use expertise to answer questions from less experienced teammates.
- Respond to escalated inquiries and problems that cannot be resolved by more junior teammates.
- Work on special projects and initiatives as needed.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent experience required, along with 3+ years total related mortgage experience, such as, processing, underwriting, post-closing and/or funding.
- Ability to manage multiple priorities and projects.
- Works with a strong sense of urgency and responsiveness.
- Excellent verbal and written communication skills.
- Highly organized and detail oriented; ability to work in a fast-paced, deadline-driven environment required.
- Prior experience using PDF software programs and Microsoft Word and Excel.
- Intermediate math skills.

Requirements
Physical: Work is primarily sedentary; mobility in an office setting.
Manual Dexterity: Frequent use of computer keyboard and mouse.
Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation. Regularly required to accurately perceive, distinguish and interpret information received visually and through audio, e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media.
Environmental: Office environment – no substantial exposure to adverse environmental conditions.
