We are seeking a highly organized and proactive Virtual Administrative Assistant to support our team remotely. Administrative Support:
Manage calendars and schedule meetings across time zones.
Organize virtual meetings, prepare agendas, and take meeting minutes.
Maintain and update electronic filing systems.
Communication and Coordination:
Serve as the first point of contact for internal and external communications.
Respond to emails and handle phone calls professionally.
Coordinate between departments and ensure timely follow-ups.
Task Management:
Assist with project tracking and task prioritization.
Monitor deadlines and assist team members in staying on track.
Research and compile data for reports or presentations.
Document Preparation:
Draft, edit, and proofread correspondence, reports, and presentations.
Ensure the accuracy and professionalism of all documents.
Operational Support:
Handle travel arrangements, including booking flights and accommodations.
Process expense reports and manage invoices.
Assist with data entry and database maintenance.
Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
Proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools like Zoom, Slack, and Asana/Trello.
Excellent written and verbal communication skills.
Exceptional organizational and multitasking abilities.
High level of discretion and professionalism in handling confidential information.
Tech-savvy and quick to adapt to new software and tools.
