This is a remote position. Scope:

Remote work with flexible hours to accommodate changing schedules Direct communication with clients and team members. Responsibility for managing and prioritizing the executive’s workload Potential for growth and increased responsibilities within the consultancy

Responsibilities:

  • Manage and organize the executive’s daily schedule, including both professional and personal commitments Handle client communications, primarily via email,
  • Ensuring prompt and professional responses Attend meetings on behalf of the executive, take comprehensive notes, and deliver messages as needed Coordinate and schedule meetings, including rearranging schedules on short notice when conflicts arise Manage projects using Basecamp, ensuring tasks are on track and team collaboration is smooth Perform basic bookkeeping tasks.
  • Sending invoices and tracking accounts using QuickBooks Assist with personal budgeting using YNAB (You Need A Budget) software Proactively identify potential scheduling conflicts and propose solutions Prioritize tasks and messages, ensuring the most critical items are addressed promptly


Requirements

  • Minimum 5 years of experience as a personal or executive assistant

  • Proficiency in Basecamp, G Suite, and QuickBooks and Notion

  • Familiarity with YNAB (You Need A Budget) software

  • Has prior experience in creating project plans

  • Excellent written and verbal communication skills in English

  • Strong organizational and time management skills

  • Ability to work independently and take initiative

  • Proficiency in note-taking and summarizing key points from meetings

  • Adaptability to changing priorities and ability to work in a fast-paced environment

  • Comfortable with both personal and professional task management
