Role Overview
We are looking for an Operations Executive Assistant to oversee daily operations while providing high-level administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities efficiently.
Tasks and Responsibilities
Operations Management:
- Oversee daily operations, ensuring efficiency and continuous process improvement
- Manage inventory tracking, vendor coordination, and procurement processes
Executive, File Legal Processing:
- Maintain and organize company files, ensuring accessibility and version control
- Manage executive scheduling, travel arrangements, and meeting coordination
- Assist in processing legal documents and contracts as a paralegal
Financial Administrative Support:
- Process invoices, accounts payable/receivable, and track expenses
- Support budget tracking, financial reporting, and farm operations documentation
Team Communication Support:
- Act as a liaison between departments to streamline internal communication and workflows
- Assist in onboarding new hires and organizing company-wide events and meetings
Requirements
Must-Have Requirements
- Minimum of 3-5 years of experience in operations management, project management, or an executive assistant role.
- Proven experience in operations management and executive assistance
- Highly organized, detail-oriented, and proficient in multitasking
- Strong project management mindset
- Fluent in English with excellent verbal and written communication skills
- Advanced file management skills
Nice-to-Have Requirements
- CPA or strong accounting background
- Prior experience in agriculture, manufacturing, or construction industries
- Experience with inventory management and farm operations software
- Background in legal document processing or paralegal work
- Strong problem-solving skills and a proactive approach to process improvements
